General Purchasing Terms and Conditions
The supplier shall apply the requirements of the ISO 9001 standard to all parts and/or services supplied to EMC S.r.l.
• The supplier shall ensure that all supplies and/or services fully comply with the applicable specifications, drawings, and purchase order requirements, and that they have been inspected, tested, and verified in accordance with the applicable documentation.
• For the entire duration of the Purchase Order/Contract, the supplier shall maintain the quality level required by the specific requirements and for which it has been approved by EMC S.r.l.
• EMC S.r.l. monitors and evaluates supplier performance through service and quality indicators.
• All items delivered to EMC S.r.l. shall be preserved, packaged, and shipped in accordance with the requirements of the Purchase Order/Contract or, where not specified, in accordance with industry best practices.
• For materials subject to shelf-life limitations (components, adhesives, paints, elastomers, etc.), at least three-quarters (¾) of the original shelf life shall remain at the time of delivery. As applicable, the packaging shall indicate: cure date, batch/lot number, serial number, assembly date, and expiration date.
The supplier shall apply the requirements of the AS/EN 9100 or AS/EN 9120 standard to all parts and/or services supplied to EMC S.r.l.
• EMC S.r.l. reserves the right to perform inspections at any stage of the supply process. The supplier shall ensure unrestricted access to EMC S.r.l. representatives, Military and Civil Surveillance Authorities, and EMC S.r.l. customers. Should EMC S.r.l. decide to exercise this right, it will provide formal notification specifying any customer participation.
• The supplier shall ensure that all necessary measures have been implemented to prevent the use of counterfeit parts. In particular, the supplier shall guarantee the traceability of parts and components to their original or authorized manufacturers.
• Subcontracting activities are not permitted unless previously approved by EMC S.r.l. In such cases, the supplier shall ensure that all applicable requirements are flowed down to the subcontractor.
• The supplier shall ensure the proper management of technical documentation, whether provided by EMC S.r.l. or owned by the supplier.
• The supply shall be manufactured and delivered in the configuration required by the Purchase Order and any subsequent modifications communicated by EMC S.r.l. Any changes to processes, products, services, subcontractors, or manufacturing facilities shall require prior approval from EMC S.r.l.
• Full traceability of the supply is required, from the finished product back to the receipt of the raw material or component, through all production and inspection documentation.
The Supplier shall provide the Certificate of Conformity (CoC) for the delivered material, or make it available through a dedicated download system or portal, at no additional cost to EMC S.r.l.
All traceability documentation, including CoCs, test reports, certifications, process records, and shipping documents, shall be retained by the Supplier for a minimum period of ten (10) years (unless otherwise specified by contract) and shall be made available to EMC S.r.l. upon request at any time.
• Any nonconformities shall be reported to EMC S.r.l. through a deviation/concession request and shall be approved by EMC S.r.l. prior to shipment of the product.
• The supplier shall ensure that all personnel are aware of their contribution to product and service conformity, product safety, and the importance of ethical behavior.
